Healthcare

Client :

Our client is a healthcare organization that operates multiple care facilities. They wanted to add an additional facility to their growing portfolio of Urgent Care facilities. As their business was growing, the management of our client realized the need for an integrated solution that can help their team keep track of profiles, appointments, payments, and messages from all locations. In addition to optimizing the practice management, their physicians wanted to provide educational contents to their patients as well as improve the communication between their doctors and their patients.

Challenge :

Staff members of the clinic were managing patient registration and patient scheduling on paper manually. Once patients check-in at the clinic, they fill out paper forms that the staff enters into the computer. When patients call in to make appointments, the clinic staff would enter the appointments manually into an appointment log. This was a big problem, since it slowed down patient registration and patient scheduling. Using paper to track appointments and patient registration was time consuming and unreliable since it has a tendency of getting misplaced.

Another problem our client had with its growing business was managing payments from all locations. It needed a system that generated the total amount of payments received at each of the locations on a daily basis. Having its staff add up payments by hand everyday was inefficient since it took a lot of time and left room for errors. In addition to generating payment reports, doctors also wanted to keep track of how many daily appointments each facility had. They wanted to know how many patients showed up, how many cancelled, and how many no-shows they had. This information will help our client manage staffing more efficiently.

Although our client had a website for his multiple facilities, there was no content management tool for content changes. They had to depend on a web designer to make changes and updates to the contents on the websites. Each time the staff wanted to make changes or updates on the websites, they had to wait a few weeks for the changes to be done. The turn-around time for these changes did not meet our clients’ needs and they realized it was time for a new solution.

Solution :

To resolve these issues, they turned to ClinicTree to provide their offices with a fully integrated clinic website, patient portal, and physician portal solution. ClinicTree’s implementation team worked on migrating patient data from the client database to ClinicTree’s database. With all their patients’ data available on ClinicTree, staff members were able to start using ClinicTree in just a few days.

Results :

Staff members at each of our client’s facilities are able to use ClinicTree’s Physician Portal to register new patients, update patient information, schedule appointments, and respond to patient messages. The Physician Portal also provided the staff with report generating tools which allowed them to see their total amount of payments received for the day and the number of appointments for the day. ClinicTree Patient Portal provides patients with access to their personal health records. The Patient Portal also allows patients to register online, schedule appointments, send messages directly to the office, and access hundreds of health related resources.
